The short answer

What a multi-tenant cleaning contract should cover

A good multi-tenant scope splits the building into common areas and tenant suites, lists every task with a frequency and says who supplies paper, liners and soap. Bids written against the same scope can be compared. Bids written against “general office cleaning” cannot.

  • Lobby, entry glass and walk-off mats — nightly
  • Shared restrooms disinfected and restocked — nightly
  • Corridors and elevators vacuumed — nightly, detailed weekly
  • Break rooms and kitchenettes — nightly
  • Tenant suites — per the lease: nightly, three times a week or weekly
  • Blinds, vents, door frames and high dusting — on a dated monthly list
How we run a building

Common areas, tenant suites and the line between them

1

Common areas

The lobby, corridors, elevators, shared restrooms and trash areas are usually the landlord’s to maintain. These are cleaned every night against the building scope.

2

Tenant suites

Suites are cleaned to what each lease covers. Cleared desk surfaces only, nothing moved, trash and recycling under every desk, conference rooms and interior glass.

3

Special suites

Medical offices, locked records rooms and anything with its own rules get a separate line in the scope so they never get lost in the general work.

Where complaints start

The four places tenants notice first

Tenants rarely call the property manager about the carpet. They call about these, so these get the most attention on every visit:

  • Shared restrooms — partition tops, floor drains, the base of each toilet and every dispenser restocked
  • Entries and hard floors — Houston rain gets tracked straight down the hallway, so mats are vacuumed and rotated and tile gets a scheduled machine scrub
  • Tenant suites — trash under the desks and the glass on interior doors
  • High dusting — blinds, vents and door frames, on a list with a date beside each one

We also report leaks, running toilets and musty janitor closets the next morning instead of cleaning around them. In Houston humidity that is where mildew shows up first.

For property managers

Vendor-ready before you ask

  • Certificate of insurance with your management company or owner named
  • Additional insured endorsement available
  • W-9 on file and ready to send
  • Same crew every night, so you know who has your keys and alarm codes
  • Missed items reported and fixed on the next visit
  • Portfolio work welcome — one contact across every building

Night crew only, or a night crew plus a day porter for restroom checks and the lobby? Most buildings start with the nightly scope and add a porter only if the complaints show it is needed.

Pricing

How a multi-tenant quote is built

Every building is priced by square footage, scope and frequency after a walkthrough. We do not publish a rate card, because two 20,000 square foot buildings can have four restrooms or fourteen, one tenant or twelve.

You get a written scope broken out by area and frequency and a fixed per-visit price, with no fuel surcharge and no annual escalator buried in the terms. If a tenant moves out or you add a floor, we re-quote that part instead of reopening the whole agreement.

FAQ

Multi-tenant cleaning questions

How often should restrooms in a multi-tenant office building be cleaned?

Nightly at a minimum. Buildings with heavy traffic often add a midday check to restock dispensers and handle spills.

Who pays for cleaning tenant suites in a multi-tenant building?

It depends on the lease. Under a full-service lease suite cleaning is usually included in the rent and handled by the building. Under a net lease the tenant often hires its own crew. We check this with you before the scope is written.

Can the cleaning happen after business hours?

Yes. Most multi-tenant cleaning is done in the evening or early morning so tenants never see it happening.

How is multi-tenant office cleaning priced?

By square footage, scope and frequency, after a walkthrough of the building. You get a written scope broken out by area and a fixed per-visit price. We do not quote a building we have not seen.

Can you provide a certificate of insurance for our property management file?

Yes. Puretek Global Cleaning is fully insured. We send a certificate of insurance with your management company or owner named, a W-9 and an additional insured endorsement on request.
